Job Summary
The Accounts Receivable Specialist is responsible for managing accounts receivable processes, ensuring the accurate and timely collection of payments, and maintaining strong client relationships. This role requires an understanding of the unique financial and regulatory aspects of the cannabis industry, along with strong bookkeeping and customer service skills.
Key Responsibilities
Invoice Management
Generate and distribute invoices to customers and dispensaries in accordance with company policies and cannabis industry regulations
Ensure invoices accurately reflect product sales, discounts, and applicable taxes
Payment Processing
Process and record incoming payments (cash, credit, and electronic transfers)
Reconcile payments against invoices and resolve discrepancies
Collections
Monitor and follow up on overdue accounts
Manage the accounting email inbox
Communicate with clients and dispensaries regarding outstanding balances and payment arrangements
Collaborate with the sales team to apply approved credits to customer accounts
Account Reconciliation
Perform regular account reconciliations to ensure accuracy
Identify and resolve discrepancies in a timely manner
Prepare and review aging reports and financial data
Reporting
Generate and analyze accounts receivable reports
Provide weekly status updates to leadership
Offer insights and recommendations to address AR challenges
Customer Service
Respond to customer inquiries related to billing, payments, and account status
Maintain strong relationships with clients and dispensary partners
Collaboration
Partner with finance and sales teams to support overall financial operations
Coordinate with internal teams to resolve issues impacting accounts receivable
Qualifications
Education
Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration, or related field preferred
Experience
Proven experience in accounts receivable or a similar role
Cannabis industry experience preferred
Skills
Strong understanding of accounting principles and practices
Knowledge of cannabis industry regulations is a plus
Proficiency in Google Workspace and Microsoft Office (Excel, Word)
Experience with LeafLink and QuickBooks preferred
Excellent organizational and time-management skills
Strong analytical and problem-solving abilities
Effective communication and customer service skills
High attention to detail and accuracy
Working Conditions
30+ hours per week, onsite
Office environment within a manufacturing facility
